HR Onboarding
Case Study
Scenario
The Client employed a high volume of new personnel to its workforce. The company’s onboarding process was cumbersome, involving a mix of paper and online forms, submitted to various stakeholders including the HR department, the employee’s supervisor and the management team.
The HR team found the onboarding process to be slow and prone to inaccuracy. In some cases the new employees start date was delayed until their onboarding could be put through the system, and often they were asked to duplicate information they had already provided.
The issue: The time consuming and error-prone process created a disappointing experience for both existing and new employees. The delay in onboarding new personnel was also having a detrimental effect on the client’s ability to deliver its projects in an effective manner.
Solution
The Eclair Group created a single form that would update all employee information into their HR system.

Employee fills in HR form with all personal
information
Employee
details and
employment
terms
HR FORM
Robot
automatically
populates HR system
WORKDAY
Employee starts work
Application efficiently processed
HR team is emailed with confirmation of onboarding
Payroll team can access salary
information
Management
informed that employee can start work
RPA Solution
The Robot populates the employee’s information into Workday, and ensures that all details are present and correct. It then sends an email to HR, payroll and management to confirm that the onboarding process is complete.
Results

The Eclair Group redesigned the client’s onboarding process to implement a streamlined and accurate experience for employees. The updated process also ensures new employees are onboarded in compliance with the client’s own HR policies.
Eclair’s solution resulted in:
Elimination of all paper forms, as well as duplicated and repetitive tasks
Processing Employee onboarding details no longer a bottleneck
Redeployment of HR staff to higher value tasks
Return on Investment within 9 months
